Inventory Co-ordinator
PURPOSE OF JOB
To oversee and coordinate the Inventory process on a daily basis. To ensure there are enough stock on hand at the mill needed for production while ensuring that there is no expired raw materials from over ordering or poor FIFO procedures.
KEY PERFORMANCE AREAS
Raw Material Intake
- Compile a list of all loads scheduled for the intake on a daily basis, 1st thing in the morning: List must include driver details, registration numbers and the product that will be carried.
Capturing and management of POR’s
- Ensure to inspect vehicle tickets received to make sure that the weight are correct and that the product is linked to the correct purchase number interphase daily.
- Capture vehicle tickets in Dexter, Country daily.
- Ensure that all missing attributes on the POR is completed and corrected using CDNxl. Daily.
- Print all packing slips daily
- Ensure to issue all completed and corrected vehicle tickets to General Admin Clerk to scan.
- Prepare all packing slips to be sent via courier every Monday and Friday to Umlaas Branch
Stock Take
- Collect all stock sheets from Micro and Bunker department on a daily basis.
- Ensure your stock is captured into the ‘daily capture programme reports/ inventory’ on a daily basis.
- Investigate variances daily on the stock take conducted and provide feedback to Branch Manager on all variances and findings.
- Once the stock take is complete and all queries are resolved, process and capture the Stock take onto the ‘daily capture programme reports/ inventory’.
Planning and coordinating of Raw Material
- Follow up on any loads that have not yet arrived as per schedule on a daily basis.
- Ensure to send all suppliers a recon of their contracts on a daily basis
- View the RAWS Planning on the Reports/ Inventory Management/RAWS Planning to ensure sufficient stock to make all the orders for productions on a daily basis
- Order any products with procurement if needed on a timeously/ daily
- Inform procurement of any problems regarding orders and loads scheduled on a daily basis as and when experiencing problems.
General Inventory Administration
- Ensure that you are up to date with any administration work pertaining to Inventory and processing on a daily basis. Ensure all filing is up to date.
- Ensure the Batch Tracker report, premix versions and contracts positions are up to date:
1. Batch Tracker – Wednesday of every week
2. Contracts positioning - Wednesday of every week
3. Premix versions – Thursday of every week - Contracts Positioning: Ensure to send contract positioning on hand for Yello maize, Soya and sunflower on a weekly basis. The reports should indicate stock on hand, purchase orders executed and estimated usages left for the month.
- Branch Tracker: Compile and administer a batch tracker report for all Micro products by physically inspecting the products in the plant. Ensure the report indicates the quantities on hand of each product giving the batch number and expiry date.
- Ensure that you discuss the batch tracker report with the Branch Manager, Procurement department, and Product Manager every Wednesday. Ensure to compile and prepare an action plan for any products not moving and close to expiry date. If need be, request extension letters from Suppliers and communicate activity to Branch Manager.
- Premix Versions: Complete the latest premix versions in the “Premix version number monitoring form” and forward to formulation.
- Should there be any queries or concerns, ensure to follow up on all and close them successfully. Ensure to keep the Branch Manager informed and consult with the Branch Manager on all queries and provide feedback as and when resolved.
- Plan and schedule all loads for raw material the day before
Reports
- Ensure to send the monthly Yellow Maize report of all Yellow Maize received to SAGIS. This report must be compiled and sent before the 10th of every month reflecting information for the previous month using the SAGIS documents received.
- This report can be compiled using reports/purchases/contract status/ Intake summery that allows for filtering of Silos from which yellow maize was received that is needed in the SAGIS Report
Knowledge, Qualifications & Experience
- Matric (Grade 12 Certificate)
- Inventory or any relevant related qualification would be preferred.
- Possession of a valid Code 08/EB driver’s license
- 3 – 5 Years’ experience in a similar position
- Experience in stock take procedures
- Working knowledge of MS Excel, MS Word
